I will be covering not one but three methods to merge cells in an Excel spreadsheet. Please follow the steps very carefully, to get the best results. So let’s start with the Article.
Merging Cells in Excel
In this section, I’m going to tell you three different methods by which you can easily merge the cells in your Excel. The first method merges only your cells but not the data inside it. This results in Loss of your Data. The other two methods merge the cells along with the data inside it. So keep this in mind while following these methods.
Also, the first two methods are a built-in function of MS Excel. But the last one requires you to install a third party software to merge the cells. So keeping all this in mind. Let’s start with our methods and learn ‘How to merge cells in Excel’.
Merging Cells with “Merge & Center” option
Suppose you have two columns named “Name”, “Class”, “Roll no”; you want these data under a particular description “Student”, or you want to type a very big message in your excel sheet. Then you have the “Merge and Center” option from the Excel toolbar. Select your start button, go to “All Programs”, select “Microsoft Office Excel” or simply search it.
- Drag the number of cells you want to merge.
- Then go to your “Home” tab of your excel toolbar.
- Click the dropdown arrow, next to the “Merge and Center” option from the home tab.
- Select any of the three options such as “Merge & Center”, “Merge Across” or “Merge Cells” according to your requirements.
And that’s how to merge cells in Excel using the “Merge and Centre” option. If you want to unmerge it, simply click the merged cell and click “Unmerge” from the “Merge and Center” option from the toolbar. But this method seems to be dissatisfying when we want to merge cells that already have some data in it. By using the option “Merge and center”, it will merge the cell by losing your data. In that case, we have furthermore methods to merge the cell without losing your data.
Merging Cells in Excel by Concatenate Function
By concatenating function you can merge cells in rows, in columns and even from anywhere of the particular excel sheet, it is not necessary that the cells must be placed in consecutive rows or columns. By following the steps below, you can merge cells of two or more columns.
- Add a new column next to the columns you want to merge the data.
- Type “=concatenate(“ in a cell of the new column; then click the first cell of the first column, type “,” then click the cell from the second column, then close the bracket.
- Drag and select the cells from the function cell to the bottom till where you want to perform the merging.
- You can also use copy and paste the functions to all the cells you want to perform the merge.
- It will copy the function to all the cells of the row.
- Congratulations, You have successfully done merging of cells along with their data in a single column.
If you want to concatenate two or more rows, then you just need to add a new row, add the function, select the cell and drag it horizontally, till the data you want to merge, you can also copy and paste the function to all the cells. Another way by which you could merge the data in a single column or a single row is by copy and pasting to notepad, for that you need to copy the data to the notepad, do the change you want in the alignment, copy the content and paste it back to the cell you want to paste it.

Merging cells In Excel using the ASAP utility
This method is the simplest and quickest method of all of the methods available in this article to merge cells in Excel. For this, you must have ASAP utility downloaded in your PC/LAPTOP. If you don’t want to download ASAP utility, then skip this method and try other methods.
If you don’t have ASAP utility, then you may download it by searching “free download ASAP utility” or you may simply click the link mentioned here – https://www.asap-utilities.com/download-asap-utilities.php. You may select any option which is suitable for you and download it and run it. Make sure to close your Excel during the installation. In general ASAP utility is very useful for those who work in EXCEL very frequently. It does the work of documentation within a few seconds, so this will make your work quite quick.
- Now open your excel window and open the file you want to make the changes.
- Select the number of cells you want to merge.
- Then go to ASAP utility from the toolbar of the Excel window.
- Then click the arrow next to “Columns & Rows”.
- You can now see various options such as “Merge Column data”, “Merge Row data”, and “Merge row data, separate cells by line break”.
Merging cells by “Merge Column data (join cells)…”
- Click “Merge Column data” from “Columns and Rows”, it will prompt a new window.
- In the comment box next to “Value”, type the character by which you want to separate the data (for ex. – “+”), if you want space between the values, you can simply press the spacebar.
- Click ok.
Congratulations, You have successfully done merging of cells along with their data in a particular column. If you want the data in a row, then follow the next step.
Merging cells by “Merge row data (selected cells)…”
- Select “Merge row data (selected cells)…” from “Columns & Rows”.
- In the new prompt window, type the character by which you want to separate the data in the comment box or simply press the spacebar from your keyboard.
- Then click OK.
You have successfully done merging of cells along with their data. But if you want the data to be in a row with a line break, then follow the next step.
Merging cells by “Merge row data, separate cells by line break”
- Click “Merge row data, separate cells by line break” from “Columns & Rows”.
- Click OK.
Yay! your data is now in a single row with a line break.
